Report and Charter Committee Report - April 2025

Interim Zoom reports:

The committee met on 9 February. The secretary was not present. We discussed this and Agenda Item 2024-07-13-008. Explore Spanish Translation. We believe that the report below for 23 March addresses and mirrors the content of this meeting.

We met on 16 February on Zoom to discuss Agenda Item 2024-07-13-008. Explore Spanish Translation. In attendance were 5 members of Report and Charter, also in attendance were the DCM for 31, The Chair for TAARC, the Area 41 delegate and The Tech and Comm chair for the Area. We discussed various methods of translation. We discussed Google Translate, Zoom Closed Capturing, a U.N. style with a translator and microphones and headphones, a new Area translator position and forming an Ad Hoc committee as the item might be too big for us. Nothing was decided.

We met again on 23 March. Five members were in attendance. We discussed our Showcase display for the April assembly. Zach put in a lot of work looking at past actions and newsletters. Thank you, Zach, for your effort. Dan volunteered to contact several assembly veterans to track down old Area Handbooks. Erin volunteered to print out the Area Handbook and to buy candy. We also discussed doing a poll for the Spanish Translation. There was some discussion on an upcoming agenda Item. Agenda Item 2025-04-05 0018. Transition Newsletter Printing to Districts. Steve volunteered to create a poll for the Newsletter.

We next met at the Area Assembly on 5 April. The meeting started at 9:05. Nine members were in attendance, one of which was virtual. The minutes were accepted unanimously. Zach has completed a timeline for Report and Charter for the Showcase, he does state it is an incomplete timeline as the research required was quite hefty. Again, thank you Zach for your herculean efforts. Dan found the older Handbooks at home. We voted by acclimation that Zach would give the virtual showcase presentation.

2025-01-11-016 Name Change for the “Reunion” to “Delegate’s Report and Service Summit”. We discussed the background on this item. The motion was unanimously tabled pending the resolution of an Item related to the Reunion. 2024-07-13-008 Explore Spanish Translation. Motion was made to table pending more information (a poll). 8-1. Minority voice was heard. We discussed why it was tabled. A point of order was made and motion to reconsider. A vote was held 3-4 there was not another vote. Motion stands.

Next meeting is 13 April at 2pm CST on Zoom. Meeting closed at 9:52 with the responsibility statement.
